Clear terms for a service built on conversation.

1. Acceptance and operator

These Terms of Service govern access to and use of SCRIBES websites, applications, meeting assistants, SCRIBES Meet, integrations, and related services (the “Service”). By creating an account, purchasing a plan, or using the Service, you agree to these Terms.

If you use SCRIBES for an organization, you confirm that you have authority to accept these Terms on its behalf. Questions or formal notices for the SCRIBES operator may be sent to support@scribes.cloud.

2. The Service

SCRIBES is an AI meeting platform. It can capture or host meetings, create speaker-labelled transcripts, generate summaries and action items, answer questions about meeting content, provide search and sharing tools, and support follow-through after the meeting.

The Service works with supported third-party meeting platforms and can also provide a native video room through SCRIBES Meet. Features, supported platforms, limits, and availability may change as the product develops.

3. Accounts and access

You must provide accurate information, protect your credentials, and promptly notify SCRIBES of suspected unauthorized access. You are responsible for activity under your account and for managing the people you invite into an organization or meeting workspace.

Basic access is available without a subscription. Shared-meeting viewers and SCRIBES Meet guests may also receive limited access without purchasing a plan. Personal and Professional capacity requires an active trial or subscription.

4. Meeting capture, transcription, and participant notice

You are responsible for determining whether you may capture, transcribe, analyze, or share a meeting and for providing every notice or obtaining every consent required by applicable law, employment policy, contract, or professional duty.

Do not use SCRIBES to capture a conversation if you do not have the necessary authority. A meeting host or participant may refuse or withdraw consent, remove an assistant, or ask that capture stop. You must respect that decision.

5. Plans, trials, subscriptions, and billing

Basic has no monthly fee, requires no payment card, and permits unlimited meetings. The first 30 minutes of each meeting are transcribed. Reaching that limit does not end the meeting: capture continues, the assistant remains in the room, and the remaining recording can still be played. Upgrading can unlock full high-quality transcription of the meeting.

Personal and Professional are paid plans with monthly capture-time allowances and no per-meeting transcription limit. Paid meetings are not interrupted because a monthly allowance is reached. The current USD price, billing interval, included capacity, and material limits are shown before purchase. Taxes are calculated at checkout.

Each paid plan includes one 14-day trial per customer. A payment card is collected when the subscription begins, $0 is charged initially, and the first subscription charge is made on day 14 unless you cancel first. If the first charge fails, the subscription may be cancelled. Access to the paid plan is immediate and complete during the trial.

Unless stated otherwise, subscriptions renew automatically for the selected monthly or annual interval until cancelled.

You may cancel renewal through the available account controls or by contacting support. Cancellation takes effect at the end of the current paid period unless applicable law requires otherwise. Fees already paid are non-refundable and are not prorated except where required by law or expressly agreed in writing.

If payment fails, SCRIBES may restrict new capture or other paid functionality while preserving reasonable access to existing meeting content, subject to storage, security, and legal requirements.

6. Your content and permission to process it

You retain ownership of the meeting audio, transcripts, summaries, files, notes, prompts, and other content you submit or create through the Service, subject to the rights of other participants and applicable law.

You grant SCRIBES the limited rights needed to host, transmit, process, reproduce, and display that content solely to operate, secure, support, and improve the requested Service. This permission ends when the content is deleted, except for temporary backups, legally required information, and content that has been lawfully shared or exported by another user.

You must not upload content that you do not have the right to process or that infringes another person’s rights.

7. AI-generated output

Transcripts, speaker labels, summaries, action items, answers, and other AI-generated output may contain errors, omissions, or incorrect attribution. SCRIBES is a productivity tool, not a substitute for reviewing the original conversation or obtaining professional advice.

You are responsible for checking important output before relying on it or sharing it. Do not use SCRIBES output as the sole basis for legal, medical, financial, employment, safety-critical, or other high-impact decisions.

8. Acceptable use

You may not use the Service to:

• break the law or violate meeting-consent, privacy, confidentiality, employment, or intellectual-property obligations;
• capture meetings without the authority or consent required in the relevant jurisdiction;
• access another person’s account, meeting, or data without permission;
• upload malware, abuse service capacity, evade plan limits, or interfere with platform security or availability;
• reverse engineer the Service except where that restriction is prohibited by law;
• use automated access methods outside published interfaces or written authorization; or
• resell or sublicense the Service unless a written agreement permits it.

9. Third-party platforms

Zoom, Google Meet, Microsoft Teams, Stripe, and other connected services are operated by third parties and governed by their own terms and policies. SCRIBES is not responsible for changes, outages, access restrictions, or content handling controlled by those services.

You authorize SCRIBES to use the integration permissions you approve in order to provide the requested functionality. You may disconnect supported integrations through the available account or provider controls.

10. Availability, changes, and beta features

The Service is provided on an “as available” basis. SCRIBES may maintain, update, modify, discontinue, or limit features when reasonably necessary for security, reliability, legal compliance, or product development.

Preview, beta, or experimental features may be incomplete, change without notice, and have different availability or support expectations. A separate written agreement may define service levels for an organization deployment.

11. Suspension and termination

You may stop using the Service and request account deletion. SCRIBES may suspend or terminate access for material breach, unlawful use, security risk, non-payment, or conduct that threatens the Service or other users. Where reasonable, we will provide notice and an opportunity to remedy the issue.

Sections that by their nature should continue—including payment obligations, ownership, disclaimers, and liability limits—survive termination.

12. Warranties and limitation of liability

To the maximum extent permitted by law, the Service is provided without warranties of uninterrupted availability, error-free transcription, fitness for a particular purpose, or accuracy of AI output.

SCRIBES is not liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, lost opportunities, or loss of data, arising from use of the Service. To the maximum extent permitted by law, aggregate liability is limited to the amount you paid for the Service during the twelve months before the event giving rise to the claim. These limits do not exclude liability that cannot lawfully be excluded.

13. Governing law

These Terms are governed by Swiss law, without regard to conflict-of-law rules, except where mandatory consumer or data-protection law provides otherwise. The competent Swiss courts have jurisdiction unless a mandatory law requires another forum.

14. Changes to these Terms

SCRIBES may update these Terms as the Service or legal requirements change. Material changes may be communicated through the Service or by email. If you do not agree to an updated version, you should stop using the Service and cancel any future renewal before the change takes effect.
